Information we handle

• Access and accounts: work email, company details, invitation and approval status, account roles, authentication records and support correspondence.
• Supplier profiles: company descriptions, locations, business contact details, capabilities, certifications and other information submitted by suppliers or collected from business websites and other research sources.
• Sourcing activity: requirements, sourcing requests, documents you upload, conversation messages and deliberately shared files. If you use document prefill, this also includes extracted document text, model outputs and draft requirements.
• Billing: company and subscription identifiers, plan, payment status, invoice references and billing events. Stripe collects payment details, legal billing name and address, and any business tax ID you provide directly; Clank does not store full card numbers or card security codes. We receive billing event data needed to process subscriptions reliably. Business tax IDs are not added to supplier profiles.
• Security and operation: request metadata, IP addresses where supplied by our infrastructure, session records, error logs and audit records of account and data changes.

How we use information

We use this information to review access requests, authenticate users, connect users to their companies, provide supplier profiles and sourcing support, process subscriptions, respond to questions, prevent abuse and maintain the service.

We send account verification, invitations, password recovery, billing and other service communications needed to operate your account. A request for access does not create a paid subscription.

Who can see it

Published supplier profiles, including the business contact details provided for them, are available to approved marketplace users. Authorized members of your company and Clank staff may access company information according to their roles.

Sourcing requests and uploaded documents are private company material. They are not automatically published as supplier profile content or sent to suppliers. Authorized Clank staff can access sourcing requests and documents to provide support.

When you start or reply to a supplier conversation, you choose the details and files to share. You can leave an inquiry for a supplier that has not joined Clank. It stays with that supplier’s company profile; Clank must approve the company connection before a supplier account can access its inquiries.

Shared messages and documents are available to authorized members of the participating companies, subject to their current subscription access. Before first payment, approved suppliers see a message count only. Suppliers whose paid access has ended see anonymous message activity until they renew. Buyer identities, message content, attachments and replies require active supplier membership. Clank staff can review reported messages when handling a report.

We use service providers to host and secure the application, manage authentication, store and scan uploaded files, deliver email and process payments. These include Amazon Web Services, Stripe and our business email provider. Providers process information needed for their services. Stripe also handles payment information under its privacy policy.

For Managed Payments subscriptions, Link acts as the merchant of record and uses billing and transaction information for receipts, tax compliance, fraud prevention and payment support. We record which company administrator accepted the billing policy and its version to keep an accurate subscription audit trail.

We may disclose information when required by law or necessary to investigate abuse and protect the service and its users.

AI-assisted document prefill

When you choose document prefill, we extract text from your requirements PDF and send that text to Amazon Bedrock to identify equipment and prepare draft requirements. This processing uses AWS regions in the United States. We retain the source PDF, extracted text, model outputs and draft requirements in private application storage to support the workflow, review and troubleshooting.

Review and correct the extracted details before submitting your request. You can enter requirements manually instead. Uploading an ordinary supporting file or sending a conversation attachment does not by itself start document prefill.

Cookies and local storage

We use essential cookies for sign-in, session security and authentication redirects. The application may also use browser storage to retain interface choices or drafts. Stripe and the sign-in service use their own security and payment-related technologies when you visit those services.

Storage, retention and international use

Our application infrastructure is hosted in the United States. Our service providers may process information in other countries where they operate. International suppliers should take this into account before submitting information.

We retain account and business information as needed to provide the service, maintain accurate company profiles, resolve billing issues, protect accounts and meet applicable obligations. Different records have different retention needs. Canceling a subscription does not automatically delete profile information, invoices or audit history.

Temporary upload copies expire, but retained sourcing documents, conversations and processing records have separate retention needs. Removing a document from a draft or letting a draft expire does not immediately delete all stored copies. Contact us to request account closure or deletion of specific information.

Corrections and privacy requests

You can edit permitted supplier profile fields through your company workspace. For other corrections, access requests, account closure, deletion requests or questions about a business contact appearing in a profile, email sales@clankindustries.com.

We may need to verify your identity or authority to act for a company before fulfilling a request. Some records may need to be retained for billing, security or legal reasons. Rights and available remedies depend on the law that applies to you.

This service is intended for business users. Do not submit personal information unrelated to your business use, passwords, card security codes or unnecessary sensitive documents.

Changes to this notice

We will update this notice as the service changes and update the effective date above. We will provide additional notice where required for material changes.
